Springfield Free Public Library /Township of Springfield Introduction: The library is seeking firm quotations for a new Integrated Library System (ILS). 1. Mandatory Requirement: The ILS shall run on the Windows 2008 platform using the SQL Server or Full Oracle (not embedded) database. No other operating systems or databases will be acceptable. Please provide costs on the enclosed form, along with 5 -year maintenance costs. The library has no obligation to award to the low bidder, and reserves the right to select the vendor it deems most suitable; or, at its sole discretion, reject all responses. 2. Background Information on Library It is the objective of this RFP to obtain a system that will automate the major functions of the library as outlined below. Our goal is to serve the library patrons with an efficient and user friendly computer based system while offering staff members a system that is easy to use, allows easy chaining between modules and operations, and offers a wide variety of statistical reports. It is the goal of the Springfield Free Public Library to obtain an automation system that consists of the following components: o Online Public Access Catalog o Cataloging and Authority Control o Circulation o Child- friendly interface o Acquisitions with fund accounting o Inventory Control o Systems Administration o Report Features o WebPac o Z39.50 client o SIP 2 The vendor must include all costs for software, hardware, data conversion, installation, training, travel and accommodations and ongoing support for the system in the proposal. The vendor must also clearly state the cost of all required hardware, software or staff training that is required for operation of the system but assumed by the library. The Library will be providing all hardware for the workstations; therefore, the proposal should not include costs for workstation hardware. The Springfield Free Public Library is a public library serving the town of Springfield, New Jersey. The Library is located approximately 10 miles west of Newark, New Jersey. The Springfield Free Public Library has a single main library and is not connected electronically or administratively with any other library organization. The Springfield Free Public Library serves a population of slightly more than 14,000 and is utilized by patrons from nearby towns in Union and Middlesex counties. The Springfield Free Public Library currently uses the Sirsi /Dynix Horizon Cataloging, Acquisitions, Circulation, and Public Access Catalog systems. The system was installed in 2002. The library employs one part-time network administrator working 18 hours a week. We also have a reference /technology librarian who devotes approximately 14 hours a week to technology issues including maintenance of the web page, databases, the Horizon system and technology based collections. Ongoing maintenance and troubleshooting is addressed largely by librarians, as needed.
