<br />ADMINISTRATIVE ASSISTANT - 4-H SOS Program <br /> <br />Cabarrus County, North Carolina <br /> <br />Siono!I Initials Date <br />Department Head <br />Human Resources <br />County Manager <br /> <br />GENERAL DEFINITION AND CONDmONS OF WORK: <br />Performs difficult skilled clerical and responsible administrntive work performing a variety of complex office <br />assistance and administrative tasks; does related work as required Work is performed under general supervision. <br />Supervision may be exercised over subordinate office assistance personnel. <br /> <br />TIris is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of <br />force frequently or constantly to move objects, and some light work requiring the exertion of up to 20 pounds of <br />force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move <br />objects; work requires reaching, fingering, and repetitive motions; vocal communication is required for expressing <br />or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken <br />word levels; visual acuity is required for preparing and analyzing written or computer data, operation of machines, <br />and determining the accuracy and thoroughness of work; the worker is not subject to adverse environmental <br />conditions. <br /> <br />Provide assistance to Director of grant-funded 4-H SOS Go/dminers middle school after school program located <br />at three middle schools in Cabarrus County <br /> <br />ESSENTIAL FUNCTlONSfI'YPICAL TASKS: <br />Maintaining and coordinating office operations; typing, word processing and data processing duties; <br />maintaining records and mes; preparing reports. <br />Receives calls and callers for the department and ascertains nature of bnsiness, directs to appropriate authority for <br />disposition; <br />Maintain. complex and detailed files and records; maintains data base; prepares information brochures, fliers, etc.; <br />Use Access database program created with assistance from LuAnn Epperson to generate weekly student rolls, <br />payment records, record student enrollment at each site, record student attendance, record tuition payments, and <br />other data from all three (3) sites needed for North Carolina Department of Juvenile Justice Department reports; <br />Transcribes correspondence, composes routine correspondence; types a variety of complex reports and materials; <br />Includes creating and preparing handbooks and permission forms for parents with students in the SOS program, <br />correspandence via letter and telephone with SOS parents, correspandence with site directors and counselors; <br />Answers questions and responds to inquiries or complaints on department and/or County operations, policies and <br />procedures; maintains calendar and schedules appointments; <br />Maintains payroll records for department; purcbases supplies and equipment for department; <br />Input timesheets for all SOS staff using MUNIS; Prepare purchase requisitions as needed; <br />Undertakes special projects as assigned by supervisor, assists with the development, preparation and maintenance <br />of departmental budget; <br />Collaborate with SOS director in preparation of grant applications io fund SOS program; Assisi with budget <br />forecasting and preparation for SOS program; Monitor monthly SOS budget reports; <br />Maintains a variety of operational, bookkeeping, budget and program records and accounts including accounts <br />receivable and payable; <br />Track expenditures using Excel spreadsheet for three (3) afterschool sites as well as staff salaries; Record and <br />receipt all monies recelvedfrom the three (3) SOS sites; <br />Attends meetings of commissions, boards and committees; compiles and types agendas; <br />Prepares minutes of meetings; prepares files and forwards action needs to proper department; <br />Prepare press releases for the newspaper about the SOS program and its locations; <br />Processes incoming and outgoing mail; <br />Reviews, recommends and purchases computer software; trains departmental UseIS on new software and hardware; <br />Prepares a variety of complex and/or confidential reports requested; maintains confidential files; <br />Input student data via computer for SOS data collection reports; <br />Receives, processes and enters a variety of information into computer system; <br />Prepare monthly reports for SOS which includes reporting program fees, student attendance and demographic <br />breakdowns; <br />Checks and reviews a variety of data for accuracy, completeness and conformance to established standards and <br />procedures; <br />Establishes office procedures; sets up and maintains filing systems; <br /> <br />F-B <br />
