North Carolina Department of Cultural Resources

Michael F. Easley, Governor
Lisbeth C. Evans, Secretary

Division of Archives and History
Jeffrey J. Crow, Director

September 27, 2002

The Honorable D. Brad Riley
Cabarrus County Sheriff
Courthouse
Concord, NC 28025

Dear Sheriff Riley:

As you may be aware, the Government Records Branch of the Division of Historical Resources
issued a new county sheriffs office records retention and disposition schedule in March 1998. This
schedule replaces the 1982 schedule, and should be approved by your office before disposing of
public records within your agency. Per G.S. § 132 and 121, once the county sheriff and the chairman
of the board of county commissioners'approves use of this schedule and. approval is entered into the
minutes of the govemin~ board, you may retain and dispose of county sheriffs office records as
outlined in the schedule.

I am one of four records management analysts assigned by the Government Records Branch to assist
county and municipal agencies with records management issues. Cabarrus County is one of the
counties in my territory. I noticed we do not yet have an approval sheet on file for your office for the
1998 schedule, and I wanted to suggest you look at the schedule. It 6an be accessed on our website
at: http://www.ah.der.state.nc.us/seetions/archives/rec/local.htm by selecting the "County Sheriffs
Office Schedule" option. The approval sheet is available on that page as well. If the schedule has
already been approved, you may simply send me a copy of the signature sheet with all the necessary
signatures. If your office has not approved the schedule you will need to download the approval
page, and have everyone approve the schedule, then send me a copy of the completed form.

If you have any questions about the schedule or records management issues in general, please do not
hesitate to contact me. My phone number is (919) 733-3540, and my e-mail is beck¥.mcgee-
lankford~ncmail.net. Our unit staff also visits local government agencies for on-site consultations or
workshops on records management. Please let us know if we can assist you in any way.

Sincerely,

Records Management Analyst, Local Records
N. C.
