DATA PROCESSING AND OTHER ELECTRONIC AND MACHINE READABLE RECORDS. <br />Many paper records are being eliminated when the information they provide has been placed on magnetic <br />tapes, disks, or other data processing media. In these cases, the information on the data processing medium <br />should be retained for the length of time specified in this schedule. For more information on the retention <br />and disposition of records in machine readable form, see Electronic Mail as a Public Record in North <br />Carolina, page xii. <br /> <br />CHANGING THE SCHEDULF-, You may request an addition, deletion, or change in a retention period <br />by completing and sending Form RC-3C to the Division of Archives and History (copy of form included on <br />page 66). See the instructions on the form for more information. <br /> <br />EARLY DISPOSAL OR DISPOSAL OF UNSCHEDULED RECORDS. Custodians desiring to <br />dispose of records earlier than specified in this schedule, or to dispose of records not listed in the schedule, <br />may use Form RSB-RC5 to obtain the concurrence of the Department of Cultural Resources (copy of form <br />included on page 67 or available on the Internet). Permission must also be obtained from the agencies <br />governing body, and included in its minutes. <br /> <br />PERMANENT RECORDS. Records scheduled for permanent preservation, even after being <br />microfilmed, may not be destroyed without specific written permission of th~_ Department of Cultural <br />Resources. <br /> <br />PROTECTING PUBLIC RECORDS. Public records are public property. They shouldremain in the <br />care of thc governmental agency in which they were created or collected in the course of public business. <br />Public records should be disposed of only when, and as specified, in this records schedule. <br /> <br />ASSISTANCE WITH INTERPRETATION & APPLICATION OF THE PROVISIONS OF THIS <br />SCHEDULE. The Government Records Branch provides assistance to agencies with records management <br />issues, including the use of the retention and disposition schedules. Four records analysts are available to <br />assist by telephone or e-mail. Analysts make site visits to agency offices, as needed.
