TO: <br />FROM: <br />DATE: <br />SUBJECT: <br /> <br />#IHI £11tlILIII 1 <br /> <br />Jims_9_00Cook, Social Services Direc~'or---~/f''' /'{'~ <br />Replacement of Copier <br /> <br /> I am writing to request that arrangements be made to replace a copy machine that <br />had been transferred by the County to the Clerk of Courts Office and used predominately <br />by Child Support staff of the Department of Social Services and of the Clerk of Courts <br />Office. That copier has wom out, is not now operating, and would cost more than it is <br />worth to fix. <br /> The specific request I am making is that we be pemfitted to purchase, at a cost of <br />approximately $6,000 from the existing Department of Social Services equipment budget, <br />a new copier as a replacement, and that the Board of Commissioners authorize the <br />transfer of this copier to the Clerk of Courts Office. The Clerk of Court would <br />continue to provide maintenance and supplies for the copier. <br /> Child Support Program staff of the Department are at the Clerk of Courts Office <br />Daily doing work which involves copying orders and other legal documents. They <br />account for 45% of the 7,000 copies per month which have been made on the worn out <br />copier. The Clerk's Child Support Program staffalso use this machine, so that well over <br />half of its use benefits the Child Support Program. The efficiency of our staff in handling <br />our more than 5,000 absent parent cases is impaired if we do not have convenient access <br />to a copier. At this point, the Clerk of Court can not secure funds to replace the worn out <br />copier. The Department could secure federal participation at 66% in half the cost ora <br />replacement copier. <br /> I have assessed the possibility of placing an additional leased copier under the <br />County's lease agreement at the Clerk of Courts Office. Administratively, however, this <br />would be a much more difficult approach. We would be faced with the necessity of <br />allocating costs month by month in order to claim federal Child Support Program <br />participation. <br /> We must work together closely with the Clerk of Court in the Child Support <br />Program. As Department staffmake large numbers of copies there, the cooperative <br />arrangement we are following makes sense.
