CAROLINA · TO: Jeff Barnhart/Interim County Manager FROM: Mike Byrd/Transportation Planner DATE: December 12, 1995 SUBJECT: Extension of transportation contract with Laidlaw/Mayflower The current contract with Laidlaw/Mayflower ends December 31, 1995. This is to request an extension of the contract until March 3 t, t996. I would appreciate the Board granting this extension at the meeting on December 18, 1995. As you are aware, the County is currently working on approval of a Transportation Development Plan (TDP). This is required by NCDOT to receive grant funding for the purchase of vehicles. The TDP update has been approved by the TDP, and is currently being reviewed by NCDOT, and may well have their approval prior to the Commissioners Meeting. The TDP will be presented to the Commissioners for their approval at their next meeting. NCDOT preferred to have the new TDP approved before entering into a new contract. We are in the process of preparing and mailing Request for Proposals (RFP) to approximately twelve different companies for the next 2 contract years, with service beginning April 1, 1996. NCDOT prefers that contracts be let based on fiscal years, so the first contract will most likely be 27 months, running from April 1, 1996 to June 30, 1998. The RFP will be sent to prospective bidders later this week. Attached is a letter sent to Mr. Terry Reynolds to request the extension of service. I had talked with Mr. Reynolds several times in the last few weeks, and he saw no problems with the requested extension.
