HcGinnis / County Manager <br />Date:From: FebruaryF'E' Isenhour,ll, i988Jr' / Zoning Administrator ~-~'~t,~'__ <br />Subject: Disposition of Zoning Records <br /> <br /> .. <br />The Cabaprus County Zoning Office has recently had many of its <br />documents microfilmed for future use, In accordance with <br />Records and Retention and Disposition Schedule issued by the <br />Division of Archives and History, Department of ~ultural Resourc- <br />es; the authorization procedures states, "records listed in the <br />schedule, may be destroyed after the specified retention periods <br />without further reference to the Secretary, Department of Cultural <br />Resources; however, if the governing body, for Some reason, de- <br />clines blanket approval Of the retention-disposition schedule or <br />fails to enter their approval and a copy of the schedule in gov- <br />erning board minutes, then the authorization of the governing body <br />must be obtained each time records are destroyed. The certifica- <br />tion and authorization must be entered each time in the governing <br /> <br />According to the August 16, 1982 minutes of the Cabarrus County <br />Commissioners, Chairman Bonds was authorized to sign the signatnre <br />sheets signifying the Board's approval of the new records reten- <br />tion and disposition schedules for tile Register of Deeds, Tax <br />Supervisor, and Tax Collector as provided by the North Carolina <br />Division of Archives and History. This 1982 meeting did not <br />authorize any other department to be covered under the blanket <br />policy adopted at that time. The Zoning Office would like fo <br />request that the Cabarrus County Board of Commission review tile <br />following request and grant this office permission to destroy the <br />requested files. The Planning and Zoning records section of the <br />disposition schedule states that board of adjustment case file may <br />be destroyed five (S) yea~s..altec resolution of the case. This <br />office bould like to gain permission to ~ostroy all of the case <br />files from.the. 1982 Cabarrus County Board of Adjustment cases. <br />All cases were ~esolved ~n 1982. The schedule also states thai <br />land use permits must be retained permanently on microfilm or hard <br />copy. .The micr~ilm section of Cab.acrus County has completed <br />micro.fi.lming..all land us~ permits from February 1982 throuDh. <br />December 198~; The zoni.n.9 off. ice has.on file a copy of the film <br />of the~e reco.rds apd the. Cabar~us Cou. nf.~ Microfilm Section also <br />has re. rained a 'copy of the.se films. .We would request permission <br />to destroy .the hard copies of the aforementioned zonin~ permits in <br />accordance with the disposition schedule. <br /> <br /> <br />
