Springfield Free Public Library/Township of Springfield <br />1. The ILS must provide a fully functional, integrated acquisitions <br />subsystem that automatically manages encumbrances, <br />disencumbrances, and expenditures in multiple library- defined <br />accounts based on acquisitions activities including, but not limited <br />to, selecting, ordering, receiving, claiming, canceling, invoicing and <br />reporting. <br />2. The ILS must maintain a complete audit trail for fund allocations <br />and adjustments by staff members. <br />3. All accounting activities must take place in real -time. <br />4. The ILS must support the ability to move between acquisitions, <br />serials, cataloging, and circulation subsystems without having to log <br />in to each subsystem. <br />5. The ILS must provide support for different order types, including <br />firm orders, subscriptions, continuations, donations, depository <br />agreements, and gifts. <br />6. Data stored and displayed in the acquisitions file must include but <br />not be limited to: <br />a. bibliographic information <br />b. acquisitions type (firm, gift, blanket...) <br />c. status information (on order, cancelled, received...) <br />d. library/branch /copy /fund information <br />e. invoice information <br />f. vendor information <br />g. vendor report information <br />h. accounting information <br />i. requestor information <br />j. instructions to vendor <br />k. internal processing instructions and notes <br />I. public notes <br />7. Acquisitions records must be accessible online through at least the . <br />following access points: <br />a. purchase order number <br />b. title <br />c. author <br />d. Library of Congress card number <br />e. ISSN /ISBN <br />f. bib number <br />g. vendor <br />h.
