Because we recognize the <br />importance of working with permanent records, we operate in a unique zero error <br />tolerance environment. Logan Systems deed book conversion procedures include: <br /> <br />(1) Scanning of the books in Greensboro at our office or on site at your office to <br />create a digital image; <br />(2) Verification in Greensboro of each image for quality (including darkness, <br />clarity, proper cropping, resolution, and missing images); <br />(3) Sequencing the documents into a book and page format. If any page is out of <br />sequence and present somewhere else we will put the image in the correct. <br />sequence. If the image is completely missing from the book, wewill create a <br />report of missing pages to determine if the image(s) are available from some <br />other source (typically the North Carolina archives). <br />(4) Rescanning ofindividual pages or complete books if the verification in step <br />two determines that the image quality can be improved, or if the sequencing in <br />step three determines that pages are either missing or out of the proper <br />sequence. The rescanning will require LoganSystems to return to your office <br />and make copies of particular pages that need to be added or <br />rep laced! enhanced; <br />(5) Application of all corrections into the book and page format; <br />(6) Verification that all ofthe corrected images have been properly applied; <br />(7) Verification that each page in the final product pulls up correctly when called <br />by book and page; . <br />(8) Making a copy of the Master File (customer copy) and the bach."up copies <br />maintained by LSI (the cost of both portable media is included in the <br />conversion service); and <br />(9) Loading all of the converted books onto the hard disk server for hard disk <br />retrieval. <br /> <br />The conversion prices listed below include initial scanning either on-site in your <br />office during normal business hours or in Greensboro over the course of multiple <br />weekends. We have completed the conversion of millions of images without having any <br />problems with the handling of original books. Of course, if anything were to ever happen <br />to the books while in our possession, Logan Systems would bear the cost of repairing <br />and!or replacing the books. <br /> <br />As part of your conversion, Logan Systems will need to customize your public <br />retrieval systems to account for the combination of Deed and Deed of Trust books. This <br />customization will also be required for the Internet retrieval system. Essentially, the <br />dates and document types will allow the separation ofthe two/book types, but certain <br />exceptions may require additional logic. Wewill work with you to determine the exact <br />logic needed to accommodate all exceptions in the new retrieval softwaresysterns.
