Finally, there are a few index books without year ranges that comprise the oldest <br />records in the County. These books appeaz to have all grantor and grantee information in <br />the same books. These books are in the more traditional sub-break version of books. <br />These books are bound, but we will be able to scan them with overhead scanners that do <br />not impact the books. <br />For each of the index types, the retrieval screen will allow the searcher to type in <br />book and page information and the image will display (if it has been digitized).t After <br />completing the review of any desired images, the user will close the imaging window and, <br />be returned to the same indexing search result screen. This system will be integrated into <br />your current public retrieval to allow searchers to access all of this data from the same <br />computer system currently in your vault. The cost for this conversion will include the <br />following: <br />• Scanning he books on site <br />• Keying the name index database for the 1968-1982 time period <br />• Creation of programs to facilitate searchable access to the data (all index <br />books have some variation in the subsection numbering) <br />Creation of programs that allow the linking to images described above <br />(assuming that digital images aze available) <br />Verification of all images at our location <br />• Verification of all index entries and all images on site (comparing to the <br />original) <br />Installation of programs including the upgrade of equipment if necessary <br />Training of your staff and the public on the use of the system <br />Creation of software for remote access to this indexing data over the Internet <br />(including any custom modifications if necessary) <br />L an S stems has <br />Based on my survey of the indexing books in your office, og y <br />calculated the cost ,'for these projects: Our nornal cost for this type, of conversion, <br />including all of the softwaze modifications and verification steps is $2650.00 per grantor <br />book and $2200.00 per grantee book. In addition, for the index books in alphabetical <br />order, there is an aiiditional fee for the keying of the names. These costs are based on <br />books containing d certain ntunber of images and subsections. For certain time periods in <br />your history, the books are considered smaller than the books for which the pricing is <br />based. Your price6 have been modified to reflect the effective number of books. To aid <br />in your review, I Ifave included the actual number of books and the effective number of <br />books for each time period as follows: <br />• January 1, 1968 to December 31, 1982 (6 Grantor Books -Effectively 4.5 <br />books): $11,925.00 plus keying fee of $2,400.00 = $14,325.00 <br />• January 1, 1968 to December 31, 1982 (6 Grantee Books -Effectively 4.2 <br />books): $9,240.00 plus keying fee of $2,000.00 = $11,240.00 <br />o !Total for 1968-1982: $25,565.00 <br />' For periods of your history with separate Deed and Deed of Trust books, the user will also be able to <br />choose book type. ~' ~ O <br />
