AD~INISTRATI~rE SUPPORT & OPERATIONS DIVISION

Plan of Work 1993-94

Automation Improvements

Obtain new electric typewriter for the CAP Clerk and Fraud Clerk to use. This
is estimated to save 15 minutes a day. There is typing done in both programs
that cannot be done on the A$/400 word processing system. Since both
typewriters in this area are very old, it is felt that the time savings would
be great. 15 minutes a day x 20 work days monthly x 12 months equals 60 hours
annually. Average hourly salary including fringe benefits is $12.09 x 60 hours
equals $725.40 annually. Cost of typewriter $ 799. No savings the first year,
but after initial outlay, savings of $725 annually.

Target date: 7/31/93. Completed: 7/31/93

An electric letter opener which would save up to one hour daily when opening
our large volume of mail. An article in a periodical our agency receives
states that "if you or somebody else in your company is spending more than 15
minutes opening the mail each day, you're probably a good candidate for some
form of automatic letter opener." This article describes'different models for
different applications ending by stating, "In either case, these tools make
opening the day's mail faster and easier. And by saving time, they also save
money." If one hour per day is saved, as anticipated, or 260 hours yearly at a
salary including fringe benefits of $13.12 hourly, $3411.20 is saved yearly.
The cost of the electric letter opener is $595. Savings the first year is
$2816.20, other years $3411.20.

Target Date: 7/31/93.

Implemented: 7/31/93

Additional printers and paper drawers for the AS/400 system saving one hour per
day to spread printers throughout the typing pool rather than a central
location. Three typists have to come to the typing room from other parts of
the building to pick up their work. Hourly salary plus fringe $9.99 x 20 days
x 12 months equals $2397.60 annually. Cost of two printers $1871 x 2 equals
$2668. Cost of equipment will be recovered in the second year of use. The
second year the savings would be approximately $270 and $2400 annually
thereafter.

Target Date: 6/30/94.

Implemented: 9/30/93

Obtain state terminal and printer for data entry supervisor. At present the
date entry supervisor must find a terminal and printer to use when it is
necessary for her to do data entry. It is often necessary at deadline time or
during absences for her to process forms. We will be obtaining additional
equipment from the state and plan to utilize some of the older equipment by
providing a terminal and printer for her when the older equipment is replaced.
This new equipment cost is a total of $1742. It is estimated that a time
savings of at least 4 hours weekly will be realized at a cost including fringe
of $43.68 weekly, or $2271.36 annually. The savings on this would be
approximately $530 the first year and $2271 yearly afterwards.

Target Date: 6/30/94 Implemented: 8/31/93
